Using the established Stay Tours first-person POV technique, create two elegant, dynamic, and immersive :90 guided luxury travel videos documenting the "stay" at the Waldorf Astoria Washington DC and the Conrad Washington, DC for YouTube Shorts, Instagram, and web.

Hilton's luxury properties are all about maximizing The Stay: every detail is thoughtfully curated for discerning guests accustomed to a certain level of comfort, customization, and quality. This extends from spacious and well-appointed guest rooms and cushy communal areas to unique, exclusive amenities and stand-out Hilton hospitality that not only serves but anticipates their every need. With the success of Hilton's ongoing "Stay Tours" social campaign, we're looking to expand into Hilton's luxury-tier properties, both across the US and globally, to shine an alluring and detail-rich spotlight on these cream of the crop hotels and all that they have to offer. To start, we're looking for a talented production team with luxury brand experience to capture the stay at the Waldorf Astoria Washington DC and the Conrad Washington, DC, ideally between March 18-21, 2025.

Unlike our current and previous Stay Tours series – :30–:60 first-person POV videos shot vertically on iPhone, fast-paced edits, and an overall playful and excited tone – Lux Stay Tours will take a much different and more production-heavy approach. You'll still maintain a first-person POV with a lightly-featured hand model, but you'll also need to cast and style two background talent per property, and shoot on a more cinematic camera on a gimbal, for final delivery of a :90 video at both 4x5 and 9x16 for each property. Where the general crew footprint for Stay Tours is usually 2-4 total people, for Lux Stay Tours, you'll also need HMU, PAs, and potentially a small amount of lighting gear and crew to ensure every space and every shot looks its absolute best. Your budget should also take into account any travel needs for you or your crew (airfare, ground transportation, lodging, per diem); and the possibility of covering on-property costs including picture F&B, on-site valet, and a wardrobe/HMU/gear staging space. We've factored these potential costs into your per-episode budget. See the Budgeting Assumptions section in the Background for a full breakdown of what you can expect.

So to be greenlit on this project, you'll need to show experience and skill in a few areas: an eye for thumb-stopping cinematography and enticing visual storytelling for sure, but also familiarity with luxury branding and working with high-end brands, a keen eye for details and textures, and strong casting and styling capabilities. From there, it's crucial that you nail the very specific 'voice' of a luxury Hilton traveler: someone approachable with a sense of adventure and a sense of refinement, who appreciates the VIP treatment and exclusivity but isn't 'wow'ed by it. Your shots need to be sensuous but not boring and your camera moves should feel fluid and thoughtful but not slow. Clever transitions, unique angles, and a strong sense of being in the moment are important to capture.

Ultimately, all of the content created for Stay Tours needs to feel like it's part of the same broad campaign, but with a more Lux touch; while you'll still capture the hallmarks of Stay Tours, you'll need to do it through a distinctive and authentically Lux angle. Lux Stay Tours should focus more on each property's attentive service, one-of-a-kind amenities, and distinctive experiences and less on the guest room. Your pacing and storytelling approach should also be slower and more thoughtful, giving time for the viewer to sit with the special touches that luxury travelers expect from their stays no matter where they are in the world.  So your camera should sweep smoothly through a hotel lobby, catching the grand chandelier above a reception desk but not 'gawking' at it. Spa treatments should look as luxurious as they are, as if the viewer is experiencing this well-deserved treat themselves. Your camera should linger over world class, chef-driven dishes or customized cocktails, and personal concierge services should be thoroughly explored. Each video needs to be crafted specifically to reflect A) each property's unique highlights, style, and/or amenities; and B) the appropriate "traveler" persona for that stay: high net worth individuals and families accustomed to a more elevated hotel experience and the amenities and perks that come with it.

Occasionally, we'll see our first person guest's hands, but this should be kept to a minimum; it's important that viewers feel like this is their POV. Background talent – either posing as other guests or as property team members providing a service – can be used to add some humanity to backgrounds, but should never be the focus of your shot. You can reuse talent across your various shoots, but on-screen diversity is crucial. It's not mandatory, but we'd love to see casting options in your pitch. Hilton will provide a room at each property for filming, although you should NOT assume that you can stay in this room overnight, and you should be available to shoot on location in DC roughly March 18-21. You should expect to spend a day or two scouting the locations during pre-production, and one full shoot day per property.

Check out more information in the Background, and for any questions or other project updates, check out the Project Forum.

DELIVERABLES:  There are six video assets, 12 still assets, and two caption file assets per property:

  • One :90 Lux Stay Tours video per property with baked-in text graphics and captions (4x5, 9x16)
  • One :90 Lux Stay Tours video per property with baked-in text graphics (4x5, 9x16)
  • One 'clean' :90 Lux Stay Tours video per property with NO baked-in text graphics or captions (4x5, 9x16)
  • 3x still images as thumbnail options per property (4x5, 9x16)
  • .SRT and .VTT caption files for each property

EXPECTED TIMELINE: HERE. Please note the anticipated shoot window of March 18-21.

EXPOSURE: We expect content will be used on the platforms below, but if casting talent, be sure they review our required Talent Release before they're cast, as it is NOT limited to these platforms. You should also review our Music providers in the Project Requirements, as well as the platform best practices.

  • Hilton's various official YouTube Shorts and Instagram channels and property websites.

TARGET AUDIENCE: Gen X and older Millennials; a new generation of smart luxury travelers, for whom life, business, and pleasure seamlessly intersect.

TONE/FEEL: Authentic, luxurious, indulgent, immersive, elegant.

EXECUTIONAL MANDATORIES:

  • Your visuals must be engaging and designed to hook and hold audience attention.
  • Videos must showcase specific property highlights and amenities. For Lux properties, highlighting bespoke service and the "little extras" that make the Stay even better and that high-end guests expect is crucial.
  • Your videos must NOT gawp at luxurious touches or details or give a "Wow!" reaction. The white-glove service, high-end amenities, architectural touches, and design elements of these hotels is what these travelers expect to experience.
  • While you can repeat talent across videos, diversity is key to Hilton, and we'll want that to show up on screen through the first-person POV. Talent should also be in sync with the type of property and available amenities, as noted above. At most, talent's arms and legs will be featured (no face) so please be sure to avoid visible tattoos.
  • The Hilton properties will provide a room for your shoot, but it is not necessary to spend the night at any of the properties; filming should require only one day or less per property.
  • You must visually emphasize the beauty of Hilton properties, from the hotel rooms to the communal areas (e.g. lobbies, restaurants, bars, outdoor spaces, etc.).
  • Greenlit filmmakers will be provided with brand Do's and Don'ts that will need to be followed during pre-production and production.
  • Do not show drinking of alcoholic beverages on camera.
  • For this project, you must use Hilton's talent, location, and artwork releases in place of Tongal's. Blank copies and instructions will be shared with the greenlit filmmaker during pre-production.

By participating in this project, creators acknowledge that the Sponsor is under no obligation to greenlight a submission. Though most projects do move forward, we'll notify you in the event the Sponsor decides not to fund any submissions via the Project Forum. Regardless of the result, all submissions will be reviewed and evaluated by the Sponsor and project team.

BUDGETING ASSUMPTIONS:

  • One to two tech scout days – Likely to take place the week before your shoots; plan to scout 1-2 properties per day.
  • One shoot day per property – Bear in mind that shooting may require irregular hours, including overnight production, to ensure access to spaces and amenities when guests are not present. Plan for 8-12 hour long shoots per property.
  • Hand model primary talent – While we should only see our POV traveler's hands sparingly, it's crucial that the casting for this role be accurate for a Lux traveler. Talent guides will be provided to the greenlit filmmaker.
  • 2 cast 'extras' per property – This may include a mix of genders and ages, including children. You may need to cast talent to portray property team members.
  • Wardrobe, Hair & Makeup – Talent must provide their own wardrobe based on moodboards and branding guides shared by Hilton in pre-production. Hilton will need to approve all wardrobe. You may not need to provide any wardrobe options, but you will need to have a stylist, hair, and makeup on set for final looks.
  • VTR/Virtual village – Assume that you will need to provide VTR or virtual village for the brand team.
  • Property and logistical costs – While your property will provide a hero picture guest room for shooting, you should not assume that any other property amenities will be provided free of charge. We have included these considerations in the budget; they include:
    • Catering during shoot - Assume that your properties will not provide on-site catering for your cast and crew during your shoot. You must be prepared to provide your own third-party catering or ensure a walkaway meal for your team.
    • Picture F&B – Assume that the property will not provide picture F&B free of charge. You should prepare to allocate up to $450 per property for picture F&B. This is accounted for in the per-episode budget.
    • Staging/Wardrobe/HMU room – Assume that the property will not provide a conference room for staging/crew holding/wardrobe/HMU. You should prepare to allocate up to $1,200 per property for a staging room. This is accounted for in the per-episode budget.
    • Hero picture guest room – The property will provide a hero picture guest room for your shoot, but they will not provide guest rooms for you, your crew, or your talent to sleep in. While we have factored lodging costs for you and your crew into the per-episode budget, you should not assume that this will accommodate multiple rooms at Lux-level properties.
    • Valet parking – The per-episode budget assumes that you will need to cover valet parking costs for any cast and crew driving onto the property for your scout and your shoot.
  • Limited Crew - the hotel properties will be open and operational during production, so you will need to work with a smaller but efficient footprint to avoid disrupting guests who are staying at the hotel at the time of production. We anticipate this crew will include the following, though we recognize each production and property will have its own unique nuances, and this is merely a suggested structure:
    • Producer
    • Director
    • Director of Photography
    • 1st AC
    • Wardrobe Stylist
    • Makeup Stylist
    • Hair Stylist
    • 1-2x Production Assistants
  • Video Content Can be Shot MOS - no dialogue or audio is needed.
  • Shoot Horizontal 4K @ 23.98 fps, framing action for 4x5 and 9x16, utilizing a Sony FX6,, Sony FX6, Blackmagic Pocket 6K, or similar. A gimbal such as the Ronin is crucial; locked off shots and dolly moves are not necessary or part of the Stay Tours aesthetic. You should plan for shooting many shots in slow motion, doing well-timed speed ramps, etc., and presenting these options during pre-production.
  • Production Will Only Take Place on Hilton Property - so licensing and permits will not be required. You may, however, be asked to provide Certificates of Insurance (COIs) for your production, depending on the property.
  • Remote viewing during production - Your production may need to be set up for remote viewing on all shoot days so any off-site Tongal or client team members can monitor the shoot. Frame.io Teradek, Atomos, etc. are viable options but open to suggestions.

REFERENCE VIDEOS:

In order to be considered, include the below materials in your submission. For examples of effective pitches, check out this gallery. All Pitches remain private, even after a Pitch is selected, and Tongal strives to have Pitch selections made by the end of the Evaluation period, but additional time may be required by the Sponsor, depending on any number of factors.

  • TEXT (REQUIRED): Up to 500 characters synopsizing how you plan to approach and produce the content listed in the Deliverables.

  • TREATMENT (REQUIRED): A more detailed and specific description of how you propose to execute all of the content listed out in the Deliverables. Explain what we can expect to see, and how you'll make it. If it's helpful, we've provided a treatment template HERE.

  • LINKS (REQUIRED): To your previous video work. Please specify your role (producer, director, editor, artist, etc.) but do not include links to your showreel. Please link to individual videos.

  • PITCH VIDEO (Optional): This is your opportunity to be face-to-face with the Sponsor and show what you're capable of. Consider a video in which you tell the Sponsor what they can expect, or consider test videos, proof-of-concept edits, animatics, etc. For examples of effective Pitch videos, check out this gallery.

The most compelling pitch will be greenlit by the Sponsor, and the responsible creator will then receive an email from Tongal producers detailing next steps. All submitters will also receive an automated email notification that a selection has been announced. To ensure you’re receiving project updates, review your email settings to check that you haven’t unsubscribed.

Creators who’ve been selected will receive funding upon completing the Winner Affidavit and the IP Assignment. Payment of the pitch funds is subject to a payment schedule determined by Tongal, typically included with the project timeline.

PRE-PRODUCTION REQUIREMENTS: Prior to the commencement of actual production, creators MUST receive final approval from the Sponsor on the elements below. There may be multiple rounds of feedback until an element is approved.

If you begin production before you have received final approval, you may need to reshoot or reanimate at your own expense.

  • TREATMENT Describe in detail how you plan to execute the content, and how you plan to bring it to life visually. Feel free to use concept art, references, style frames, or mock-ups. If relevant, share additional information about your team, and your process.
  • CASTING: Tongal advocates for inclusivity in on-screen representation and diversity in casting. Please submit three to four options per role, with at least one of those options being a person of color. It is preferable to share multimedia content (i.e. video & audio clips) to help the Sponsor gauge the talent's performance, rather than headshots or resumes.
  • STORYBOARD: Include individual images for each key beat in your video. It is best practice to include scripted dialogue or VO, along with on-screen text or disclaimers, under each panel in our Storyboards. If there are multiple unique videos, ensure you submit a Storyboard for each video.
  • WARDROBE: Submit descriptions and/or pictures of your cast's wardrobe. You must submit at least two wardrobe options per role.
  • WARDROBE STYLIST: Present at least two options for the Wardrobe Stylist you intend to collaborate with, and ensure the past work that you share is relevant to this project.
  • HMU STYLIST: Present at least two options for the Hair and Makeup Stylist(s) you intend to collaborate with, and ensure the past work that you share is relevant to this project.
