Conduct a 2-day shoot on March 20 and 21 at the Hualta Hotel Mendoza in Mendoza, Argentina. You will be responsible for all aspects of physical production – including casting, wardrobe, and HMU – in coordination with a Campaign Director who will supply storyboards and creative guidance for your shoot, and handle all post-production. 

Every stay and every hotel has its own unique style; where you choose to stay, and what that stay entails, is a crucial factor for travelers. Hilton has long embraced this maxim, and they have launched a major campaign to revamp their photo and video libraries to capture what that looks and feels like for certain Waldorf Astoria and Curio Collection properties. This campaign will take a more candid and authentic approach to highlighting the specific amenities, experiences, and lifestyles that are available to guests at these key locations, and how those come together to create a unique stay for every guest, every trip.


The brand has already brought on a Campaign Director to oversee the creative development for this new campaign, and for this project we are looking for one filmmaking team who can handle local physical production at the Hualta Hotel Mendoza, Curio Collection by Hilton, in Mendoza, Argentina. Raw footage from this shoot will then be provided to the Campaign Director, who will handle ALL post-production and delivery. 


You will need to conduct a two-day MOS video and photography shoot on Wednesday, March 20 and Thursday, March 21, 2024. In addition to the two-day shoot, you will also be asked to conduct a one-day tech scout at the property on Friday, March 8. You are NOT being asked to pitch a creative take here as the goal is to align seamlessly with the elevated lifestyle format established by the brand and the Campaign Director; we are instead looking for a filmmaker team who can digest this established creative approach and execute against it without deviation. We have detailed out this approach and the property that will be featured in the Background section below.


Once selected, you'll work closely with the Campaign Director and their team throughout pre-production and production. The Campaign Director and their team will provide creative & technical pre-production guides as well as storyboards and shot lists for you to follow when shooting. The content you will be capturing will range from cinematic horizontal footage, including drone footage, to vertical footage specifically for social and shot on phone, and still photography. Your visual stories will require authentic and candid talent performances to represent Hilton guests, and we'll need a stylish eye to capture the unique textures and sensory experiences of each hotel. You can read more about the requirements for that content in the Budgeting Assumptions in the Background section as well.


Your team will be responsible for sourcing up to 10 on-screen talent (up to 4 principals and 6 extras; these will likely include children and adults, depending on the property), wardrobe styling, set decoration for any featured props (as needed), and all talent hair & makeup. In addition to the tech scout mentioned above, you will also be required to hold talent wardrobe fittings and share photos of the final looks ahead of production for Hilton's approval. The Campaign Director will be joining your shoot remotely to provide real-time feedback during production and ensure everything is aligning with their vision, and there may be also local Hilton or Tongal representatives on set in person. After the shoot you will be asked to send proxy files to the Campaign Director digitally, as well as ship a hard drive to Los Angeles, CA with all raw footage and photos. You will not be responsible for any video or photo post-production services. 


Because the Hualta Hotel Mendoza will be open and operating with real guests during our production, maintaining an efficient and flexible footprint is key. Above all, the top priority will be to ensure that production is not interfering with the guest experience and you will need to keep this top of mind. If it means changing a shot so that we do not disturb guests, that's okay. The guest experience is paramount to the production for Hilton, so keeping a high sense of courtesy and flexibility will be extremely important.


Please note you do NOT need to be based in Argentina to pitch on this project, but there is no additional travel budget available, and any crew travel or lodging should be covered under your production budget. If needed, the property may be able to provide a discounted room rate from March 19-21 for any crew or talent that need to stay onsite. In your pitch materials, you MUST introduce the team you would be working with on this project, and you MUST utilize this production team template to do so. Submissions that do not use this template will not be considered. We're breaking down more details about the process, as well as some budgeting assumptions, below. IF YOU ARE SELECTED:

  • You will be coordinating with the Campaign Director, who will provide pre-production guides (including preferred lenses, lighting/framing/set dec references, casting & wardrobe guidance, etc.), as well as storyboards and shot lists. 
  • This series must follow the creative style laid out by the Campaign Director.
  • You will be responsible for sourcing casting, wardrobe, and featured set decoration options in accordance with the storyboards provided to you by the Campaign Director. 
  • You must conduct a technical scout at the property (set for March 8) and share photos from that scout with the Campaign Director. 
  • You must conduct talent wardrobe fittings and share photos with the Campaign Director and Hilton team for approval ahead of production.
  • Your video and photo shoot must take place on March 20 and 21. Any date shifts will be discussed directly with the various teams in real time.
  • You must send ALL proxy footage and photos to the Campaign Director by EOD PT on March 26. 
  • You must provide all talent releases to Tongal by EOD PT on March 29. 
  • You must send ALL footage and raw assets to the Campaign Director via hard drive by EOD PT on March 29.
  • You will NOT be required to provide any post-production services.


FOR YOUR PITCH: Your pitch should primarily highlight:

  • Past work that shows your ability to shoot elevated lifestyle or docu-style content, ala the existing content.
  • Past work that shows your ability to direct talent, and get grounded and genuine performances. 
  • From your photographer, past work that shows an ability to capture lifestyle, interiors, and staged talent along with architecture.
  • A breakdown of the key members of your team, including your director (motion), director of photography, still photographer, wardrobe stylist, hair/makeup artist, and production designer. You must use our production team member template for this breakdown.
  • Details about how you'll approach your production, and address whether you're local or whether you're traveling. 

 

DELIVERABLES: Digital or physical delivery of all proxy files, hard drive delivery of all raw footage + photo selects.

EXPOSURE & RIGHTS: This project requires a full rights buyout for all talent and for all content that you deliver, including photography. That means all rights, globally, in perpetuity, and in all media. Please ensure that your photographers are aware and have agreed to this before presenting options to Hilton, and that Talent is made aware of this Talent Release during the casting process. This is not negotiable. In terms of usage, we expect content will be used on the platforms below:

  • YouTube
  • Facebook
  • Instagram
  • Out of home advertising
  • Hilton property websites
  • In-Room at Hilton properties
  • Hilton brand emails


TARGET AUDIENCE: Gen X and older Millennials; a new generation of smart luxury travelers, for whom life, business, and pleasure seamlessly intersect. Should you receive a greenlight, additional information about the specific brand and audience you will be shooting for will be provided to you ahead of launching any casting notices. 


By participating in this project, creators acknowledge that the Sponsor is under no obligation to greenlight a submission. Though most projects do move forward, we'll notify you in the event the Sponsor decides not to fund any submissions via the Project Forum. Regardless of the result, all submissions will be reviewed and evaluated by the Sponsor and project team.

BUDGETING ASSUMPTIONS:

  • One Tech Scout Day - In the week before your scheduled shoot window, you will be asked to complete a tech scout at your respective hotel property.
  • One Wardrobe Fitting Day with Talent - You will be asked to conduct fittings with confirmed talent and share those photos back with Hilton for approval. 
  • Two consecutive days of shooting - The entirety of your commitment is approximately EIGHT weeks, with physical production for both video and photo content taking place over two consecutive days in the shoot window specified above. Your shoot may involve overnight production, and you should plan for a 10-12 hour day for both days of production.
  • Up to 10 cast talent - There will likely be a mix of children and adult featured talent, based on the storyboards for your property. Hilton employees will not be expected to appear in this content, so you may need to cast talent to portray employees, which would be included in that count of up to 10 talents. 
  • Wardrobe, Hair & Makeup for all featured talents.
  • Set Decoration for any featured decor notes and props, if needed for your specific property. This could include fake ice for beverages, luggage, the approach to staging in-room decor or furniture, etc. You will not need to bring in large decor or furniture. 
  • Brand present on set - with 1-2 Hilton or Tongal representatives potentially attending in person.
  • Catering during shoot - Assume you will be responsible for any on-site catering costs for your cast and crew during your two-day shoot. While the property will likely be able to offer a catering discount or access to team member dining halls, you should prepare to allocate up to $5,000 of your budget to catering.
  • Limited Crew - the hotel properties will be open and operational during production, so you will need to work with a smaller but efficient footprint to avoid disrupting guests who are staying at the hotel at the time of production. We anticipate this crew will include the following, though we recognize each production and property will have its own unique nuances, and this is merely a suggested structure:

  • Video Content Can be Shot MOS - no dialogue or audio is needed.
  • Shoot Horizontal 4K @ 23.98 fps, framing action for 16x9, utilizing the Arri Alexa Mini LF or Arri Alexa Mini with Zeiss Primes + Zeiss mid-range Zoom I.E. 21-100 lenses. You should have access to a Ronin R2 for any handheld shots (which will be specified in your provided storyboards + shot lists). You may be asked to shoot some shots in slow motion, but again this will be specified in your provided storyboards + shot lists. 
  • Shoot Vertical 4K @ 30 fps, framing action for 9x16, utilizing an iPhone 13, 14, or 15 and an iPhone Gimbal. (Note: there will only be a specific set of shots labeled to shoot on phone; the majority of production will take place with horizontal shooting on the camera package listed above).
  • Shooting Photos utilizing a Phase One IQ 150 or Canon R5. You should have access to fast aperture, auto-focus lenses, as well as a tethered digitech station. 
  • Drone Photography may be required, depending on the storyboards or shot list for your greenlit property, so you should plan to have a licensed and experienced drone operator on your team. You will be asked to provide documentation of any drone operation licenses, and will need to comply with the specific aerial safety considerations around your specific property. 
  • Production Will Only Take Place on Hilton Property - so licensing and permits will not be required. You may however be asked to provide Certificates of Insurance (COIs) for your production, depending on the property. 
  • Video Village for Hilton Team Members Present At Shoot - preference is to utilize a wireless 24 inch monitor along with a 7 inch handheld monitor where possible. 
  • Remote viewing/camera to cloud during production - Your production should be set up for remote viewing on all shoot days so the Campaign Director can monitor the shoot. Frame.io Teradek, Atomos, etc. are viable options but open to suggestions.
  • Costs for Hard Drive/Shipping to Campaign Director - must be factored into your budget considerations.

In order to be considered, include the below materials in your submission. For examples of effective pitches, check out this gallery. All Pitches remain private, even after a Pitch is selected, and Tongal strives to have Pitch selections made by the end of the Evaluation period, but additional time may be required by the Sponsor, depending on any number of factors.


  • TEXT (REQUIRED): Up to 500 characters synopsizing how you plan to approach and produce the content listed in the Deliverables.

  • TREATMENT (REQUIRED): A more detailed and specific description of how you propose to execute all of the content listed out in the Deliverables. Explain what we can expect to see, and how you'll make it. 


  • TEAM BREAKDOWN (REQUIRED): Please introduce the key members of your team you would be working with on this project. This includes your director (motion), director of photography, still photographer, wardrobe stylist, hair/makeup artist, and production designer. You MUST utilize this template for your team breakdown. Submissions that do not use this template will not be considered. 

  • LINKS (REQUIRED): To your previous video work. Please specify your role (producer, director, editor, artist, etc.) but do not include links to your showreel. Please link to individual videos.

  • PITCH VIDEO (Optional): This is your opportunity to be face-to-face with the Sponsor and show what you're capable of. Consider a video in which you tell the Sponsor what they can expect, or consider test videos, proof-of-concept edits, animatics, etc. For examples of effective Pitch videos, check out this gallery.

The most compelling pitch will be greenlit by the Sponsor, and the responsible creator will then receive an email from Tongal producers detailing next steps. All submitters will also receive an automated email notification that a selection has been announced. To ensure you’re receiving project updates, review your email settings to check that you haven’t unsubscribed.

 

Creators who’ve been selected will receive funding upon completing the Winner Affidavit and the IP Assignment. Payment of the pitch funds is subject to a payment schedule determined by Tongal, typically included with the project timeline.

 

PRE-PRODUCTION REQUIREMENTS: Prior to the commencement of actual production, creators MUST receive final approval from the Sponsor on the elements below. There may be multiple rounds of feedback until an element is approved.

 

If you begin production before you have received final approval, you may need to reshoot or reanimate at your own expense. 

 

  • CASTING: Tongal advocates for inclusivity in on-screen representation and diversity in casting. Please submit three to four options per role, with at least one of those options being a person of color. Self tape videos will be required for any cast members you are submitting. 
  • WARDROBE: Submit pictures of your cast's wardrobe (this includes jewelry, shoes, handbags, and other accessories). You must submit at least two wardrobe options per role. You will also be required to conduct wardrobe fittings and submit photos to Hilton and the Campaign Director for final approval. 
  • FEATURED SET DECORATION: Submit descriptions and/or pictures of any featured set decoration elements you will be using in your production.

ASSET DELIVERY REQUIREMENTS & RESOURCES: You must also provide all raw footage and signed releases for talent, location and artwork (if needed) to the Campaign Director in order to receive final payment. You are responsible for the costs associated the hard drive and shipping.

  1. In addition to the standard Tongal W-9, Winner Affidavit, and IP Assignment, greenlit Video creators MUST also provide Talent, Location, Music (or other) Releases for all assets appearing in their Videos, as well as a photograph/headshot OR copy of a photo ID for all On-camera Talent releases. You must also provide all project files, editing sequences and a 1080p .mov master file, using a ProRes, Animation, or Uncompressed Codec to claim your earnings. Tongal also reserves the right to request all raw files associated with the project.

  2. Unless provided otherwise, all work must be your own original creation and free of any copyrighted material. You shall provide detailed information of your work regarding the source, the creator and background information as requested by Tongal.

  3. In the event you utilize any third-party materials, such as music provided by a third-party music provider not provided by Tongal, you must obtain full written license and consent from the owner of such third-party materials and provide such license and consent forms to Tongal.

  4. The Sponsor will be entitled to reasonable revisions on the finished Videos without providing additional compensation. Remember it's easier to re-edit than re-shoot so try to get as much coverage as possible.

  5. Preferred format for upload to the Tongal website is HD 720p and formatted for the aspect ratios listed in the Deliverables (e.g. 16x9). Acceptable file formats are .mov, .avi, .mp4, .wmv. Acceptable codecs are H.264 (MP4), MPEG-4, H.263, MPGV, WMV, DivX. Should your submission be greenlit, you will also be required to provide a 1080p .mov master file, using a ProRes, Animation, or Uncompressed Codec.

  6. BY SUBMITTING A VIDEO ENTRY, YOUR SUBMISSION IMMEDIATELY BECOMES THE SOLE PROPERTY OF TONGAL OR ITS ASSIGNEES - SEE OFFICIAL RULES FOR MORE DETAILS ABOUT OWNERSHIP OF ENTRIES. YOU MAY NOT PUBLICLY SHARE OR PUBLISH YOUR SUBMISSION IN ANY MANNER AND YOU MAY NOT POST OR UPLOAD YOUR SUBMISSION TO ANY WEBSITE OR VIDEO HOSTING SITE (INCLUDING, BUT NOT LIMITED TO, FACEBOOK, YOUTUBE OR VIMEO), WITHOUT THE PRIOR EXPRESS WRITTEN CONSENT OF TONGAL. FAILURE TO COMPLY WITH THIS REQUIREMENT MAY RESULT IN DISQUALIFICATION OF YOUR ENTRY IN THE PROJECT.

  7. You may not contact any employees or members of the Sponsor's organization, their affiliates, or any of their partners. Failure to comply with this requirement may result in disqualification of your entry in the project.

  8. In addition to the judging criteria stated in the OFFICIAL RULES, Pitches will also be evaluated on that member's ability to execute the final Video based on their prior work and experience as a creator.

  9. Videos must be in the English language or subtitled.

  10. Submissions must not portray Sponsor in a negative way, the determination of which will solely reside with Sponsor, nor can Submissions contain any profanity, offensive language, nudity or otherwise objectionable material, the determination of which is solely at the discretion of Sponsor.

  11. You must be at least thirteen (13) years or older to enter.

  12. The Sponsor reserves the right to repost the contest.
